Easy Guide: Managing Customer Contacts in Maxchat Without the Hassle
Do you use Maxchat to interact with customers? If so, mastering the Contact feature is essential. Imagine having all your customer information stored neatly in one place — organized, searchable, and easy to manage. That’s exactly what this feature is designed for.
This article will guide you through how to use Maxchat’s Contact feature — from viewing details, adding, editing, and deleting contacts to organizing them efficiently. Don’t worry, the explanations are simple and non-technical.
Let’s get started!
What Is the Contact Feature and Why Is It Important?
The Contact feature serves as a digital address book for all your customers who interact with you through different communication channels. It helps your team access centralized and complete customer data, making service more personal and efficient.
You can find this feature in Maxchat’s main menu. Inside, you’ll see several sections: Group, Contact Details, Auto-added Contact, New Contact, Edit Contact, Delete Contact, Filter and Search Contact, and Import & Export Contact.
1. Viewing Customer Contact Details
To view complete information about a customer, simply click on a contact name from the list. You’ll see all details entered when the contact was created.
Available information includes:
- Full Name: The customer’s full name displayed in the Chat menu conversation list.
- Nickname: A friendly name to make identification easier.
- Assign Agent: Manually assign which agent will handle this customer’s conversation.
- Label: A tag or category such as “Loyal Customer” or “New Prospect.” Useful for filtering data.
- Channel: The communication platform used by the customer such as WhatsApp, Telegram, or Facebook Messenger. A contact may have multiple channels.
- WhatsApp Number: The customer’s WhatsApp number (optional if WhatsApp is not the main channel).
- Email: The customer’s email address.
- Company: The customer’s company name.
- Address and City: The customer’s location information.
- Notes: Additional notes for detailed descriptions beyond labels.
2. Adding a New Contact
There are two ways contacts can appear in your list:
- Automatically Added: When a new customer sends a first message to you via WhatsApp, their number and WhatsApp name are automatically saved to your contact list.
- Manual Addition: You can also manually add a contact using the New Contact feature. Fill in details like full name, label, channel, number, and other data mentioned above.
3. Editing Existing Contact Information
If customer data changes or needs updating, you can easily edit it:
- Open the customer’s contact details (as explained in Section 1).
- Modify the necessary information.
- Click Save at the bottom of the contact details window.
4. Deleting a Contact
If a contact is no longer relevant and you wish to delete it, follow these steps:
- In the contact list, check the box next to the contact name you want to delete.
- Once selected, the trash bin icon (delete contact button) will appear next to the “New Contact” button.
- Click the trash icon to remove the selected contact.
5. Organizing Contacts with Groups and Labels
To keep your contact list neat and manageable, use the Group and Label features.
- Group: Allows you to categorize contacts based on segments such as “Priority Users,” “Service A Clients,” or any group you define.
- Label: Labels help you tag and identify contacts quickly. Besides tagging, they are very useful for filtering contacts dynamically. Labels are created in the Chat menu under Labels.
6. Searching and Filtering Contacts
Maxchat provides Filter and Search tools to help you find contacts easily, especially when the list becomes long.
- Filter by Label: Display only contacts with specific labels. Simply select the label you want, and Maxchat will show matching results.
- Filter by Channel: View contacts based on their communication channel. Choose one from:
- Search by Name: Type the customer’s name directly into the search bar.
- Combine Filters and Search: Use both filters (by label or channel) and name search for more precise results.
- Reset Filter: To clear all filters and view all contacts again, click the Reset button.
7. Importing and Exporting Contacts
This feature is especially helpful if you want to import contacts from an external source or back up your data.
- Import Contacts: Add existing contact data into Maxchat.
- Export Contacts: Download your contact data from Maxchat.
Conclusion
Managing customer contacts in Maxchat is simple with the Contact feature. You can automatically save new contacts, add them manually, edit, delete, or organize them using Groups and Labels. The Filter, Search, Import, and Export options make it even easier to manage customer data in one centralized place.
