Easy Guide to Creating Broadcast Messages Without the Headache

Broadcast messages are a great way to communicate with many customers at once. If you are using a platform like Maxchat, the process can be very simple as long as you know the steps. This article will guide you through creating a broadcast message without needing deep technical expertise.

What Do You Need to Prepare?

The most important thing before you start is to make sure you already have a template message that has been approved by Facebook or Meta and has the Accepted status. This template will be the basis of your broadcast message.

Starting the Broadcast Creation Process

  1. Open the Broadcast Menu: In the dashboard or main menu, find and select the "Broadcast" menu. Here, you can see the list of broadcast messages you have created.
  2. Create a New Broadcast: To start a new one, click the "New Broadcast" button, usually located at the top right of the page.
  3. Fill in Initial Details: On the "New Broadcast" page, you will be asked to provide some basic information:
  4. Continue: If all initial details are complete, click "Continue".

Optional Step: Fill in Message Parameters (Step 2)

This step is required if your template includes variable parts marked with {{n}} (such as {{1}} for the customer’s name). This allows personalization. There are three ways to fill parameter values and set recipients:

  • Method 1: Use the Edit Button
  • Method 2: Upload a CSV
  • Method 3: Select Group

Final Preview (Step 3)

After entering recipients and parameters (if any), you will reach the Preview page. Here, you can review complete details of the message that will be sent to your customers.

  • Send to Yourself (Self Assign): You can choose this option to send the broadcast message to your own number after the broadcast finishes.
  • Schedule Broadcast: You can schedule the broadcast for a specific date and time. Turn on the "Scheduled Broadcast" toggle. Click the calendar icon to select the date and the stopwatch icon to set the time.

You will also see a Cost Estimation for this broadcast. The cost is calculated based on the number of customers you entered in Step 2 and the category of your message. Costs will be charged when your WhatsApp Conversation (Outbound) quota runs out.

After the Broadcast is Sent

Broadcasts that have been created and sent will appear in a table on the Broadcast menu. This table shows key information:

  • Title: The broadcast title.
  • Template: The template used.
  • Created At: The date the broadcast was created.
  • Scheduled At: The date the broadcast is scheduled to be sent (if scheduled).
  • Queue: The number of messages in the queue.
  • Failed: The number of messages that failed to send.
  • Sent: The number of messages successfully sent.
  • Delivered: The number of messages successfully delivered.
  • Undelivered: The number of messages not delivered.
  • Read: The number of messages that have been read.
  • Total: The total number of recipients.
  • Action: Actions available for the broadcast item.

Viewing Broadcast Details

To view more detailed information about a specific broadcast, click the Detail button on the broadcast item in the table. You can track status per phone number such as which ones received, read, or failed to receive your message. For scheduled broadcasts, the status will show "queue".

Filtering and Searching Broadcasts

If your broadcast list is long, you can use search and filter features:

  • Filter by Status: Filter broadcasts by status (for example, Scheduled for those scheduled, Finished for those already sent).
  • Filter by Date: Filter broadcasts by the "Created At" date within a specific time range.
  • Search: Search broadcasts by their Title.

You can even combine status or date filters with a title search for more specific results.

Downloading Broadcast Reports

You can download a broadcast report in CSV format. This file is easy to open and process using spreadsheet applications such as Excel or Google Sheets.

About Limits and Credibility

Be aware that there is a Daily Broadcast Limit, which is the total number of broadcasts you can send within 24 hours. The initial limit is typically 100 messages per 24 hours. This limit can increase as your WABA account credibility grows. You can raise credibility by sending broadcasts regularly to customers within your daily limit. Conversely, poor ratings on broadcasts can lower your account credibility.

By following these steps, you can easily create and manage broadcast messages on the Maxchat platform without needing complex technical knowledge.
